As a pioneer in Indonesia’s electronic transaction industry, Artajasa Pembayaran Elektronis has long been at the forefront of digital payments. The company operates ATM Bersama, the country’s largest interbank switching network, enabling millions of transactions across ATMs, mobile banking, internet banking, QRIS, and GPN debit systems.
Despite operating Indonesia's largest payment switching network, Artajasa's internal finance systems ran on multiple disconnected platforms. To strengthen financial operations, the company partnered with Portcities to migrate from Odoo 15 to Odoo 17 Enterprise—consolidating accounting and finance into a single system.
From Fragmented Systems to Unified Finance
Before the migration, Artajasa’s accounting and finance departments operated across several disconnected systems. Manual processes moved data between platforms that couldn't integrate directly leading to two critical problems: Data duplication across departments and no real-time visibility into financial performance. Each reconciliation cycle required manual verification across systems.
The migration to Odoo 17 Enterprise aimed to consolidate all accounting and finance data into a single database.
The Migration Goal: Centralised and Efficient Finance
The migration focused on three objectives:
- Consolidate all accounting and finance data within a single system.
- Maintain internal SOPs while leveraging Odoo 17’s enhanced automation features.
- Improve the accuracy and timeliness of revenue and expense tracking through analytic accounting.
A Smooth Transition to Odoo 17 Enterprise
Portcities and Artajasa began the migration project in May 2024. The entire process — from data migration and testing to deployment and hypercare — was conducted fully online.
By June 2024, the upgraded system went live successfully with full departmental adoption. The Accounting and Finance, collaborating closely with Portcities consultants
To ensure the upgraded system fit seamlessly with Artajasa’s operational structure, Portcities implemented several targeted improvements:
- Enhanced General Ledger view, combining invoice, bill, and accounting date filters for faster reporting.
- Added Customer Reference and Bill Reference fields to improve traceability.
- Introduced a Matrix Approval System to handle multi-level bill and payment approvals.
- Customised invoice formats to comply with Artajasa’s internal documentation standards.
The migration was hosted on Artajasa’s private cloud infrastructure, managed by its internal DevOps team, with secure access through CISCO VPN. The project encountered minimal obstacles. The finance team's strong understanding of Odoo's accounting capabilities enabled smooth data migration. When additional customization requests arose, both teams deferred them to future phases to maintain the go-live schedule.
Efficiency That Translates Into Results
Within five to six months of go-live, Artajasa observed measurable improvements across financial operations.
Key outcomes included:
- Faster reporting cycles with improved data accuracy.
- Centralised financial visibility across accounting and budgeting.
- Streamlined workflows that reduced manual reconciliation and duplicate entries.
Encouraged by these outcomes, Artajasa and Portcities are now continuing their partnership through Phase 3 and Phase 4, focusing on enhanced budgeting tools and more advanced accounting features. Portcities provides ongoing SLA 1 support to maintain long-term stability and performance.
A Partnership Built on Trust
The two-month migration eliminated manual processes across Artajasa's accounting and finance departments. By consolidating disconnected systems into Odoo 17 Enterprise, the company established a unified financial database supporting 100-200 employees.
By moving to Odoo 17 Enterprise, Artajasa now operates on a modern ERP foundation that supports its mission as a leading player in Indonesia’s payment infrastructure industry.
